How do I know what can be reimbursed?

Please see Sections 4.4, 4.5, 4.6, and 4.7 for details about what can be reimbursed. You can also review this list of ideas, which includes reimbursable and non-reimbursable items.

When can I begin purchasing my student's curriculum?

You may purchase your student's curriculum and resources from April 1 – March 31. (Example: The 2022-23 program's Purchase Window is April 1, 2022 – March 31, 2023.)

When can I submit Requests for Reimbursement?

The Reimbursement Window is September 25 – April 30 (January 15 – April 30 for the mid-year program).

How many times can I submit a Reimbursement Request form per year?

The number of available Requests for Reimbursement varies according to the course types on a student’s schedule.

How long does it take to receive reimbursement?

All Requests for Reimbursement are reviewed within 14 business days after being submitted (or resubmitted) in InfoCenter.

You can track the status of each request in InfoCenter as it changes from “Submitted” to “Approved” to ”Paid.”

If a request requires updates to be approved, you will receive an email notification. The status will change to "Updates Required." Please make the needed changes and resubmit the request.

Once "Paid," payment will be processed through Hyperwallet according to the timeframe of your selected transfer method.

What if my student enrolls mid-year?

Students who join mid-year are eligible for half the standard reimbursement amounts.

What happens if my student withdraws before the end of the year?

OpenEd offers full-year (August - May) and mid-year (January - May) programs. Students are expected to participate for the entire duration of their enrolled program. We support parents in making educational decisions for their students and recommend you carefully review the Withdrawal/Repayment Policy.

My reimbursement was sent back, requiring updates. What should I do?

The Reimbursement team sends an email with the subject line “Updates Required: Request for Reimbursement” from [email protected] that outlines what adjustments are needed. Please search your email, including spam, for the information.

If you receive an “Updates Required” response from the Reimbursement team, please do the following:

  1. Make updates to the existing Reimbursement Request form; there’s no need to submit a new, duplicate form as a request marked as "Updates Required" will use one of your available submissions.

  2. Only upload and submit the corrected receipt or items indicated as needing updates. You do not need to resubmit all of the original receipts.

  3. If additional information or instructions are needed to clarify items, please use the Additional Information box within the Reimbursement Request form.

  4. Be sure to resubmit the request once you’ve made the indicated updates. We can only reimburse once the request has been resubmitted and approved.

  5. If you need help updating a request, reply to the email you received; our Parent Support team will be happy to help.

I missed the deadline for submitting my Request for Reimbursement. Is it too late?

All Requests for Reimbursement must be submitted by April 30, as outlined in Parent Link and the InfoCenter Calendar.

Can I be reimbursed for used or refurbished items?

Used or refurbished items are eligible for reimbursement; you will need a receipt from the vendor that meets the Receipt Requirements. See Section 4.3.

Can I combine one student’s Custom-built resources?

Yes! Custom-built resources for one student can be combined across all Custom-built periods.

  • Example: John has a Custom-built Period 2 (math) and a Custom-built Period 4 (science). He only needs a $100 math book this year, so the remaining $150 from Period 2 can be used for approved science resources.

Can one student’s Custom-built or 3rd Party Provider resources be used for another’s resources?

No. A student's course resources can not be used for a sibling's resources.

  • Example: Bobby’s Custom-built resources cannot be used for Suzy’s curriculum.

What if multiple students use the same Custom-built curriculum?

If the same curriculum is used by (and is included in) the approved course descriptions for multiple students, you can split the cost of the curriculum. Just indicate directly on the receipts how you are dividing the cost and then upload the receipts to as many Requests for Reimbursement as they apply.

Can I use my child's Technology Allowance for their sibling's educational resources?

Yes! Technology Allowance can be shared between siblings if both children participate in the current program year.

  • Example 1: The cost of Bobby's computer can be divided between (and requested under) his and Suzy's Technology Allowance.

  • Example 2: Bobby's Technology Allowance can be used for Suzy's piano lessons.

Can I purchase a family membership?

Yes, we can provide reimbursement for memberships up to the basic family level. Amounts above the basic family level are not reimbursable.

Can I purchase a lifetime subscription?

Yes, you can purchase a lifetime subscription, and we can provide reimbursement for up to the cost of the corresponding annual subscription.

Can I be reimbursed for the summer months on my educational subscription or membership?

We can reimburse an annual membership when paid either in one lump sum or monthly, including payments in April, May, June, and July of the previous year. If you purchase a time-limited membership, like a one-month or three-month pass, the months of the membership need to fall within the instruction window (August-May).

Can I buy art supplies for Custom-built periods?

Art supplies are limited to $25 per Custom-built non-art period. Additional art supplies can be reimbursed with a Custom-built art class or Technology Allowance funds.

  • School Supplies: Crayons, scissors, white printer paper, pencils, pens, stapler/staples, erasers, glue, scotch tape, whiteboard markers, colored pencils, and basic markers (not the specialized ones, but basic packs you'd find in a classroom).

  • Art Supplies: Clay, play-doh, canvas, paints, oil pastels, watercolors/watercolor paper, paint brushes, construction paper, patterned tape, stickers, pipe cleaners, googly eyes, puff balls, glitter, tissue paper, art markers, Kraft paper, ribbon, string, etc.

  • Items that fall under Art but would need to be under a Custom-built art class or Technology Allowance: Craft kits, art curriculum (like pictures of art), jewelry-making supplies, wood-burning supplies, and art-specific tools (like a pottery wheel, paint sprayer, Cricut, etc.)

Are theater tickets eligible for reimbursement?

Theater tickets can be reimbursed with a Custom-built theater class or Technology Allowance funds.

Can I be reimbursed for photo or photo book printing?

Yes, you can be reimbursed up to $25 per Custom-built course. Additional printing costs can be reimbursed with Technology Allowance funds.

Can an admission ticket for a chaperone be reimbursed alongside a student ticket?

Yes, we can reimburse a ticket for one accompanying adult per family. Additional chaperone tickets are not reimbursable.
